Jobix (“Jobix,” “we,” “us,” or “our”) provides software platform for contractor operations, customer management, quotes, scheduling, invoicing, payments, messaging, tenant account management, and related business operations tools through our website located at https://jobix.ca, any related subdomains, mobile applications, and online services collectively referred to in this Privacy Policy as the “Platform.”
This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when individuals access or use the Platform, create an account, communicate with us, interact with businesses or service providers through Jobix, apply for employment or contractor opportunities with us, or otherwise provide personal information to us.
For the purposes of this Privacy Policy, “personal information” means information about an identifiable individual, as understood under applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (“PIPEDA”).
1. Scope of this Privacy Policy
This Privacy Policy applies to personal information handled by Jobix in connection with the Platform and our business operations.
Depending on how the Platform is used, Jobix may process personal information about:
Business Customers / Account Holders: businesses, contractors, professionals, service providers, employers, or other organizations that create an account with Jobix.
Authorized Users: employees, contractors, administrators, team members, or representatives who access the Platform on behalf of an Account Holder.
End Users: customers, clients, job applicants, workers, service recipients, or other individuals who interact with an Account Holder through the Platform.
Website Visitors: individuals who visit our website or interact with our online content.
Job Applicants and Contractors: individuals who apply to work with or provide services to Jobix.
Where Jobix processes personal information on behalf of an Account Holder, the Account Holder is responsible for ensuring it has the legal authority, consent, and notices required to provide that information to Jobix and to use the Platform. End Users who have questions about how an Account Holder uses their personal information should contact the relevant Account Holder directly.
2. Personal Information We Collect
We collect only the personal information reasonably necessary for the purposes identified in this Privacy Policy or otherwise disclosed at the time of collection.
A. Account and Profile Information
When you create or manage an account, we may collect:
name;
business name;
email address;
phone number;
username or login credentials;
business address or mailing address;
role, title, or account permissions;
profile settings and preferences;
information submitted through account forms or onboarding workflows.
B. Business and Service Information
Depending on the features used, we may collect information such as:
business services offered;
service areas;
availability;
job, project, booking, or appointment details;
customer or client records;
quotes, estimates, invoices, receipts, or transaction records;
notes, documents, messages, photos, forms, or files uploaded to the Platform;
communications between Account Holders, Authorized Users, End Users, or Jobix.
C. End User Information
If an Account Holder uses Jobix to manage customers, clients, workers, applicants, or other individuals, we may process personal information about those End Users, including:
name;
email address;
phone number;
address or service location;
appointment or booking information;
payment or transaction information;
messages, requests, notes, documents, forms, photos, or other content submitted through the Platform;
information needed to provide, schedule, complete, bill, support, or review services.
Jobix processes this information to provide the Platform and related services to the Account Holder, subject to our agreements with that Account Holder and applicable law.
D. Payment and Billing Information
If paid services, subscriptions, deposits, invoices, or transactions are processed through Jobix, we or our payment service providers may collect:
billing name;
billing address;
payment method details;
transaction amount;
invoice or subscription details;
payment status;
tax-related information;
banking or payout information where required.
Jobix does not intend to store full payment card numbers unless specifically stated. Payment information may be processed by third-party payment processors such as Stripe and other payment processors used by Jobix from time to time, subject to their own privacy practices and legal terms.
E. Communications and Support Information
When you contact us, request support, respond to surveys, participate in promotions, or communicate with us, we may collect:
contact information;
message content;
support request details;
feedback;
call, chat, or email records;
information needed to verify your identity or respond to your request.
Where calls, meetings, chats, or support interactions are recorded or transcribed, we will provide notice where required by law.
F. Device, Usage, and Technical Information

I. Job Applicant and Contractor Information
If you apply for a position or contractor opportunity with Jobix, we may collect:
resume, cover letter, and application materials;

employment history;
education and qualifications;
references;
interview notes;
work eligibility information;
background check information, where permitted and with required consent.
We use this information to evaluate applications, communicate with candidates, make hiring or contracting decisions, and manage our legal and business obligations.
J. SMS and Mobile Messaging Information
If you provide a mobile phone number or opt in to SMS communications, we may collect and process:
mobile phone number;
SMS opt-in and opt-out status;
consent records, including time, date, source, and related form information where available;
message content and communication history;
delivery, carrier, and messaging-status information;
STOP, HELP, unsubscribe, or support requests.

enable bookings, jobs, projects, customer management, messaging, scheduling, dispatching, or other Platform features;

communicate with users about Platform updates or changes;
monitor, investigate, and prevent fraud, abuse, unauthorized access, security incidents, or unlawful activity;
personalize or improve user experience;
analyze usage, performance, and trends;
develop new products, features, or services;
conduct surveys, research, promotions, or marketing activities;
send marketing communications where permitted by law;
comply with legal, regulatory, tax, accounting, contractual, insurance, and dispute-resolution obligations;
enforce our agreements, policies, and legal rights;
fulfill any other purpose identified at or before the time of collection or to which you consent.
We do not use personal information for purposes that a reasonable person would consider inappropriate in the circumstances.
4. Consent

Account Holders are responsible for obtaining any required consent from End Users whose information they submit to or process through Jobix.
5. Marketing Communications
Jobix may send commercial electronic messages, such as newsletters, product updates, offers, promotions, or event invitations, where permitted by Canada’s Anti-Spam Legislation (“CASL”) and other applicable laws.
Each commercial electronic message will identify the sender and include an unsubscribe mechanism where required. You may unsubscribe from marketing communications at any time. You may still receive transactional, account-related, billing, security, or service communications that are not marketing messages.
6. Artificial Intelligence and Automated Features
If Jobix offers AI-assisted or automated features, such as message drafting, scheduling suggestions, service recommendations, customer support tools, fraud detection, search, matching, analytics, summaries, or workflow automation, personal information may be processed to operate those features.
Jobix may use third-party service providers to support AI or automated features. Where we do so, we take reasonable steps to require those providers to protect personal information and use it only for authorized purposes.
Users should not submit sensitive personal information into AI-assisted features unless the feature is specifically designed and authorized for that type of information.
Jobix does not make decisions that produce legal or similarly significant effects about individuals using solely automated processing unless we provide notice and comply with applicable legal requirements.
7. How We Share Personal Information
Jobix may disclose personal information in the following circumstances.
A. With Account Holders and Authorized Users
Information submitted through an Account Holder’s account may be available to that Account Holder and its Authorized Users, depending on account permissions and Platform settings.
B. With End Users or Transaction Participants
Where necessary to complete a booking, job, project, payment, service request, message, review, or transaction, certain information may be shared between the relevant participants.
C. With Service Providers
We may share personal information with third-party service providers that help us operate our business and Platform, including providers of:
cloud hosting;
data storage;
payment processing;
billing and subscription management;
analytics;
customer support;
communications;
email and SMS delivery;
identity verification;
fraud prevention;
security monitoring;
AI or automation tools;
marketing tools;
professional services;
legal, accounting, tax, or compliance services.
These service providers may access personal information only as needed to provide services to us and are expected to protect the information in accordance with contractual and legal obligations.
We do not sell, rent, or share mobile phone numbers or SMS opt-in data with third parties or affiliates for their own marketing or promotional purposes. SMS consent is used only for communications that are requested, permitted, operationally necessary, or otherwise allowed by law and applicable messaging rules.
D. With Integration Partners
If you choose to connect Jobix with third-party applications, tools, marketplaces, calendars, accounting platforms, payment services, messaging platforms, or other integrations, we may share information as needed to enable the integration. The third party’s own privacy policy may apply to its handling of information.
You should review the privacy practices of any third-party integration before connecting it to your Jobix account.
E. For Legal and Compliance Purposes
We may disclose personal information where we reasonably believe disclosure is required or permitted by law, including to:
comply with court orders, subpoenas, warrants, lawful requests, or regulatory requirements;
respond to government, law enforcement, or supervisory authorities;
protect our rights, safety, property, users, or the public;
investigate fraud, security incidents, or violations of our agreements;

F. Business Transactions
If Jobix is involved in a merger, acquisition, financing, restructuring, sale of assets, due diligence process, insolvency, or similar business transaction, personal information may be disclosed or transferred where permitted by law. We will take reasonable steps to ensure continued protection of personal information.
8. International and Cross-Border Processing
Jobix and our service providers may access, store, or process personal information in Canada, the United States, or other jurisdictions. Personal information processed outside your province, territory, or country may be subject to the laws of those jurisdictions, including lawful access by courts, law enforcement, or government authorities.
By using the Platform or providing personal information to Jobix, you understand that personal information may be processed outside your jurisdiction where permitted by law.

We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, use, disclosure, loss, theft, alteration, or destruction.
These safeguards may include access controls, encryption, authentication tools, logging, monitoring, staff training, vendor controls, and incident response procedures.
No system is completely secure. Users are responsible for maintaining the confidentiality of account credentials and promptly notifying Jobix of any suspected unauthorized access.
10. Retention of Personal Information
We retain personal information only as long as reasonably necessary for the purposes for which it was collected, or as required or permitted by law.
Retention periods may depend on:
the nature of the information;
the purposes for which it was collected;
account status;
legal, tax, accounting, and regulatory requirements;
security, fraud prevention, and dispute-resolution needs;
contractual obligations.
When personal information is no longer required, we will delete, anonymize, or securely dispose of it, subject to technical, legal, and business limitations.

Jobix relies on users, Account Holders, and End Users to provide accurate and up-to-date information. You may update certain information through your account settings or by contacting us.
Account Holders are responsible for maintaining accurate End User information that they submit to or manage through the Platform.
12. Access, Correction, and Privacy Rights
Subject to applicable law, you may request access to personal information Jobix holds about you, request correction of inaccurate or incomplete information, withdraw consent, or ask questions about our privacy practices.
We may need to verify your identity before responding. In some cases, we may be unable to provide access to all information, such as where disclosure would reveal personal information about another individual, confidential business information, privileged information, or information that cannot be disclosed for legal or security reasons.
If your request relates to information Jobix processes on behalf of an Account Holder, we may direct you to that Account Holder and assist them as appropriate.
13. Children and Minors
The Platform is not intended for children under the age of the age of majority in their province or territory. Jobix does not knowingly collect personal information from children without appropriate consent or legal authority.
If you believe a child has provided personal information to Jobix without appropriate authorization, contact us using the information below.
14. Third-Party Websites and Services
The Platform may contain links to third-party websites, applications, tools, or services that Jobix does not own or control. This Privacy Policy does not apply to those third parties. We are not responsible for their privacy practices, content, terms, or security.
You should review the privacy policy of any third-party service before using it or providing personal information.
15. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. The “Last Updated” date above indicates when this Privacy Policy was last revised.
If we make material changes, we will provide notice as required by law, which may include notice through the Platform, by email, or by other reasonable means.
